Terms of sale
The terms of the Traceroll subscription: the free trial, the price and paying, cancelling, what happens to your office’s data, and who answers for what.
Last updated 4 November 2026
Who you are dealing with
Traceroll is sold by Augspach Architecture SRL, Rue de Genval 40, 1310 La Hulpe, Belgium, enterprise and VAT number BE 0667.669.311, hello@traceroll.com (“we” on this page).
What these terms cover
They apply to the use of Traceroll, its free trial, its student space and its paid subscription. Traceroll is made for architects and their offices, working alone or with others, and is sold to them for their professional work.
The person who opens an office, its owner, accepts these terms for the office, and answers for the people they invite into it.
The free trial
A new office has 30 days free, with every feature, without giving a card. Nothing is charged unless you subscribe.
You can then get 30 more days free by adding a card: you choose a monthly or a yearly subscription on Stripe’s checkout page, Stripe saves the card and checks it with your bank, and nothing is charged. The first payment is taken at the end of those 30 days, and the subscription renews from then on until it is cancelled. Stripe emails you a reminder 7 days before. Cancel before the first payment and nothing is charged. These 30 days are given once per office, and a card gives them once.
We may also give a code for a free year. When the office’s owner types it in Traceroll, the office is free for a year from that day, without a card. Each code works once, and an office can use one. At the end of the year the office goes on as at the end of a trial: adding a card gives the 30 more days above.
If the free time ends without a subscription, the office can no longer be used; its data is kept 90 days in case you subscribe, then deleted.
Students and interns
An office opened from an email address given by a school or university, confirmed with a code sent to it, is a student space. It is free, and has part of Traceroll: weekly lines for studios, courses or work at a firm, the timer, the hours and their report, the calendar, and, once they are out, the phone and computer apps. It stays free for a year from its opening, and for another year each time the school address is confirmed again.
When a year ends without the address confirmed again, or when the student moves to the full Traceroll, the office becomes a full Traceroll office, with its lines and hours, and its 30-day free trial starts. While the school address stays confirmed, a student pays half price for the full Traceroll; when it isn’t confirmed again, the subscription goes back to the full price from the next payment.
We may ask for other proof of studies, and may end the student space or the half price if the conditions aren’t met.
An architect doing their stage with the Ordre des Architectes (Conseil francophone et germanophone), kept in Traceroll’s Stage roll, pays half price for the full Traceroll once their maître de stage confirms the stage from the email Traceroll sends them and we have found them, by the member number they give, on the Ordre’s public list of stagiaires. The half price lasts until the stage ends: two years from its first day, a day more for each day marked illness or force majeure, or the fourth control’s day if the Ordre set it later, and never more than three years from the confirmation. Then the subscription goes back to the full price from the next payment. We may ask for the Ordre’s attestation of registration on the list of interns, and may end the half price if the conditions aren’t met.
Price
The price is shown on traceroll.com and in the app before you subscribe, and the one on the checkout page when you subscribe is the one that applies. It depends on the number of people in the office, monthly or yearly; a year costs ten months.
Prices are before VAT, which is added at checkout according to where the office is. An office with a valid VAT number in another EU country pays no VAT and accounts for it itself (reverse charge).
Someone added to the office during a period is charged for the rest of that period, pro rata; someone removed is no longer charged from the next one.
Subscribing and paying
- The owner subscribes from the app and pays on Stripe’s secure checkout page. The contract is made when the payment goes through.
- The subscription is paid in advance, for a month or a year, and renews itself at the end of each period until it is cancelled.
- Stripe emails the receipt and the invoice, made out by Augspach Architecture SRL to the name and VAT number you give.
- If a payment fails and is not settled within 14 days, the office is paused, and no one can log in to it, until it is. Its data is not touched.
Cancelling
The owner can cancel at any time, from the app or by writing to us. The subscription then runs to the end of the period already paid and is not renewed. A period that has started is not refunded, except under the right of withdrawal below.
After the last paid period, the office’s data is kept 90 days, so that you can come back or ask for a copy, then deleted.
Right of withdrawal
Traceroll is sold to professionals, who have no right of withdrawal. If you nonetheless subscribe as a consumer, Belgian law (Book VI of the Code of Economic Law) gives you 14 days from subscribing to withdraw, without giving a reason. By subscribing, you ask for the service to start at once; if you withdraw within the 14 days, you are refunded, less the days already used.
To withdraw, write to hello@traceroll.com before the 14 days are up. A simple statement is enough. You are refunded within 14 days, by the means you paid with.
The service
We aim for Traceroll to be available at all times, but cannot promise it will never be interrupted: maintenance, a fault at a provider or an attack can stop it for a while.
Traceroll changes as it improves. If we remove a feature an office relies on, its owner is told at least 30 days before, and may cancel and be refunded the unused part of a yearly subscription.
Traceroll’s figures (planned hours, cost rates, profit, the scorecard) are worked out from what the office enters. They are aids to running an office: not accounting, tax or legal advice, and not invoices.
Your office’s data
The data an office enters belongs to the office. We use it only to provide Traceroll to the office, as the privacy policy describes. On request, we send the owner a copy in a common format (CSV or JSON).
For personal data an office enters about other people, the office is the controller and we are its processor. These terms are then the processing agreement Article 28 of the GDPR requires:
- Subject and duration: providing Traceroll, for as long as the office uses it and the 90 days after.
- Nature and purpose: storing the data, showing it to the office’s people according to their role, and sending the emails and calendar dates they ask for.
- Data and people concerned: names, contact details, addresses, roles and notes about the office’s clients, contacts and leads; names, email addresses, hours, pay and cost rates of the office’s people.
- We act only on the office’s instructions, which are these terms and the way it uses Traceroll, and tell the office if an instruction seems to us to break the law.
- Everyone who handles the data for us is bound to confidentiality.
- We keep it secure: sent only over encrypted connections, stored in the EU, reached only by those who need it, with log-in codes and sessions kept only in scrambled form.
- We use the sub-processors the privacy policy lists, and tell the owner by email at least 30 days before adding or replacing one. The office can object; if we cannot meet the objection, it can cancel and be refunded the unused part of its subscription.
- We help the office answer the people whose data it keeps, and meet its own security obligations, as far as Traceroll allows.
- We tell the office without undue delay of any breach affecting its data.
- At the end, we delete the data after the 90 days above, or first return it on request, unless the law requires us to keep it.
- We give the office the information it needs to check all this, and allow an audit by it, or by an auditor bound to confidentiality, at its cost and with reasonable notice.
Using Traceroll properly
Keep your email account safe: the log-in codes go there. You answer for the data you enter and must be entitled to enter it. Do not try to reach another office’s data, overload or attack Traceroll, or resell it.
We may suspend an account that breaks these rules or puts Traceroll or other offices at risk, after a warning unless the risk is urgent, and end the subscription if the breach is serious or goes on.
Contracts and agreements
Some rolls help with the contract between an office and its client: the Belgium roll drafts one from the Ordre des Architectes’ model, the United States roll records which agreement a project is under and lists what California’s law wants in it. These aids are free: no part of any price pays for them.
Traceroll is not a lawyer and does not replace one. What it drafts, lists or records is information, given as it is, not legal advice; it may be incomplete, out of date or wrong for a given project, and the law of the place of the project may want more. Each contract is the office’s and its client’s: they decide what it says and answer for it. Have every contract checked by a lawyer qualified where the project is before anyone signs.
Within the limits the law allows, we take no responsibility for any contract or agreement drafted, checked or recorded with Traceroll, for what it includes or leaves out, or for its use, and owe nothing for a loss that comes from one.
Who answers for what
Within the limits the law allows, our liability is limited to what the office paid for Traceroll in the 12 months before the event, and does not cover indirect losses such as lost profit or lost business. These limits do not apply to fraud, to intentional or serious fault, or to anything the law does not allow to be limited.
Changes to these terms
We may change these terms, for instance when Traceroll gains features or the law changes. The new version is published here with its date and, for a running subscription, sent to the owner by email at least 30 days before it applies. A new price applies from the first renewal after that notice. If you do not accept a change, you can cancel before it applies.
Questions, complaints and disputes
Write to us first, at hello@traceroll.com, and we will look for a solution with you. As a consumer, you can also turn to the Consumer Mediation Service (consumerombudsman.be).
Belgian law applies. A dispute goes to the courts of Walloon Brabant, unless you are a consumer and the law gives you another court.
